something big happened this week that most people scrolled right past.

anthropic published a report showing exactly which jobs AI is replacing right now. not guesses. actual data from millions of real conversations people are having with claude at work.

the number that matters: AI can theoretically handle 94% of computer and math tasks. but only 33% are actually being automated today.

that 61-point gap? that's the window. the people who figure out how to use these tools before everyone else becomes the person their company can't live without. the people who wait become the ones refreshing linkedin wondering what happened.

this week we're going to close a piece of that gap. i'm going to show you the system i built where one phone recording automatically creates tasks, calendar events, email drafts, slack summaries, and a searchable knowledge base. no typing. no copy-paste. no "i'll remember that."

one recording. five outputs. automatically.

i call it the plaud cascade. and after you see how it works, you're going to want to build one.

BUILD: THE PLAUD CASCADE

i used to walk out of meetings and phone calls thinking "i'll remember that."

i never did.

someone would say "let's circle back thursday" and by the time i hung up, it was already gone. action items slipped. follow-ups got forgotten. meetings i agreed to never made it to my calendar.

so i stopped trusting my memory and built a system instead.

now when i get on a call, i don't take notes. i don't write anything down. i just talk. when the call ends, five things happen automatically:

  1. tasks land in my notion board

  2. calendar events get created

  3. follow-up emails draft themselves in my voice

  4. a summary posts to my slack channel

  5. everything gets logged in a searchable knowledge base

i don't touch anything. i hang up and it's already done.

here's what's under the hood.

there's a plaud stuck to the back of my phone. small device, about the size of a credit card. it records and transcribes every call. i don't think about it. it just runs.

when a call ends and the transcript is ready, zapier catches it. think of zapier like a doorbell. the second that transcript exists, zapier rings and passes it along to the next room.

that next room is n8n. if you haven't used n8n, think of it like a kitchen where all your tools work together. you can see the whole workflow laid out visually. if something breaks you can see exactly where.

n8n takes the transcript and sends it to claude's API with one job: read this entire conversation and pull out five things.

  1. every task. who's doing what, and by when.

  2. every date mentioned. meetings, deadlines, follow-ups.

  3. every decision that was made.

  4. a clean summary of what happened.

  5. any follow-up emails that need to be sent.

claude reads a messy 30-minute phone call where people talked in circles, went on tangents, and said "yeah let's circle back on that thing from last week" and it still figures out what the actual tasks are. that part still surprises me every time.

here's the part that makes it mine: i baked my voice profile into the system. every email claude drafts sounds like me. not like AI. not like a robot wrote it. like me. because i fed it examples of how i actually write and talk.

claude sends everything back to n8n, organized and structured. then n8n splits into five parallel branches. all five fire at the same time:

branch 1: tasks go to my notion board with owners, deadlines, and context.

branch 2: dates and meetings go straight to google calendar with the right times and descriptions.

branch 3: follow-up emails land as drafts in gmail, written in my voice, ready to review and send.

branch 4: a clean meeting summary posts to my slack channel so my team knows what happened without asking me.

branch 5: everything gets logged in a notion knowledge base. three months from now when i need to remember what we decided in that march meeting, i search for it and it's there.

i hang up. i go about my day. everything is already where it needs to be.

the part nobody talks about.

before this system i was running multiple businesses and every phone call added things to my plate that i had to manually track. some i'd remember. most i wouldn't. stuff slipped between the cracks constantly.

the other thing: when you know everything is being captured, you actually listen better on calls. you're not half-present trying to scribble notes on a napkin. you're in the conversation. fully. because you trust the system to handle the rest.

that changed how i show up on calls more than any productivity tip ever did.

you don't need better memory. you need a system that makes memory irrelevant.

what it costs.

plaud is the only hardware. $170 one-time.

then there's the monthly stuff. plaud's unlimited transcription plan is $29/month. n8n cloud (where the workflow runs) is $24/month. claude's API costs about 2-3 cents per meeting which is basically nothing. zapier's free tier handles the trigger. notion, gmail, google calendar, slack. all free.

total monthly cost: about $53/month. plus the $170 device upfront.

is that cheap? compared to hiring a virtual assistant at $500-2,000/month to do the same thing, it's a steal. compared to the hours you get back every week, it pays for itself in the first week. but i'm not going to tell you it's free. it's not. it's $53/month to never forget an action item again. you decide if that's worth it.

if you want to go cheaper, you can self-host n8n for free on your own computer and drop it to $29/month. if you already have a plaud unlimited plan, you're just adding n8n.
